Before the buyer leaves
Record the new owner's true name and address, the vehicle plate and VIN, the odometer reading and the actual sale date. California DMV asks for those details on the seller's Notice of Transfer and Release of Liability (NRL). Check title signatures and any required smog report before handing over possession. Save a clear record of what each party received.
Get the buyer information needed for the NRL
DMV says the NRL needs the new owner's name and address. If the information is missing, DMV may be unable to update the vehicle record. Ask the buyer to confirm spelling and address at the meeting, while correction is easy. Do not replace a missing name with a guess or copy a placeholder into a filing.
California requires the seller to notify DMV within five calendar days after the sale or transfer and delivery of possession. The official DMV NRL page explains the filing and says to save the confirmation. An NRL is not the buyer's title-transfer application.
Match the vehicle and the moment of transfer
- Compare the VIN on the car and title; record the plate, year and make.
- Record the odometer reading at the actual handoff, not an earlier listing estimate.
- Note the actual date and time, agreed price, and keys or accessories delivered.
- Confirm title signatures and any lienholder release that applies; do not guess at unclear fields.
- Keep the smog Vehicle Inspection Report if a change-of-ownership check is required.
The NRL expressly asks for vehicle, buyer, mileage and sale-date details. The extra handoff notes are practical evidence for both parties, not a substitute for DMV forms or an assurance of legal protection. DMV says the buyer must complete the ownership-transfer requirements using the endorsed title.
Keep copies without oversharing
Make a copy or photo of the completed documents you need for your own record, and retain a payment receipt or other evidence that the agreed exchange occurred. Verify payment through the payment provider or financial institution rather than assuming a screenshot proves it cleared. CloseMyCar does not process or verify vehicle payment.
Store buyer address, title images and payment details securely. Share them only with the buyer, DMV, insurer or another recipient with a real need. Avoid posting them in public listings or sending them to an unrelated third party.
Use the complete private-sale guide for the full sequence, the free printable paperwork checklist for forms, and the after-sale guide for NRL confirmation and later notices.
Want one organized sale record?
The optional CloseMyCar workspace helps an eligible seller organize steps and export a private record for $14.99 once. It does not validate title, file the NRL or handle payment.
